Clean Core Architecture Guide #54

SAP Clean Core ILM, GDPR Compliance & Data Privacy Guide

Core Architectural Mandate: In SAP S/4HANA Clean Core, regulatory data privacy and retention cannot be treated as an afterthought or solved with ad-hoc SQL deletions. Hardcoding database deletes breaks transactional integrity and violates tax auditability. Clean Core enforces SAP Information Lifecycle Management (ILM) to govern residence times, retention windows, legal holds, and automated data destruction into WORM-compliant storage.

1. The Danger of Custom Purging vs. Standard SAP ILM

Over decades of ECC development, many organizations built custom deletion programs to trim large tables like VBAK, VBAP, or ACDOCA. In S/4HANA, this approach is disastrous:

Governance Attribute Custom Z-Purging Program SAP Clean Core ILM Framework
Referential Integrity Orphans line items, breaks document flows Full document graph validation (Archiving Objects)
Tax Audit Defense (GoBD/SOX) Fails audit due to lack of destruction certificates Cryptographic Proof of Destruction audit trail
Litigation Protection Deletes active legal evidence (severe enterprise liability) BAdI-driven Legal Hold freeze overrides
Clean Core Status Tier 3 modification (ATC blocker) ✅ Official Tier 1 Standard Architecture

2. Residence Period vs. Retention Period

SAP ILM establishes two critical chronological phases in an enterprise record's lifecycle:

3. GDPR Article 17 ("Right to be Forgotten") in S/4HANA

Personal data (Customer and Vendor master data in Business Partner BUT000) must be erased when the business purpose ceases. However, financial regulations mandate preserving invoices for up to 10 years.

SAP solves this conflict using Blocking and Deletion (SAP Simplified Blocking):

  1. End of Business (EoB): All open sales orders and invoices for the customer are closed.
  2. End of Purpose (EoP): The Business Partner is blocked from operational use (Fiori authorization check blocks regular sales reps).
  3. Destruction on Expiration: When the 10-year fiscal retention window expires, the archiving run physically deletes the master record and overwrites audit logs.

4. Legal Hold Overrides

If an enterprise faces a lawsuit or tax inquiry, compliance officers activate an ILM Legal Hold. The Legal Hold freezes the destruction timer, ensuring that automated background archiving jobs (SARA) never delete records flagged as active evidence, regardless of their age.
